Bookkeeper/Data Entry Job Description
 
 
Responsible to:  Executive Director                                         Date: May 20, 2025
 
 
Goal of Position:
This position supports the Faith in Action for Cass County mission of service to people in need, by fulfilling responsibilities related to office finances, as delegated by the Executive Director, Treasurer and Board of Directors.  In addition, this position is responsible for contributing ideas for program improvement and donor development.
 
 
Duties and Responsibilities:

  • Clerical duties including word processing, spreadsheets, data entry, phones, email, fax, copying
  • Maintain care receiver records, input registration and updated information in database 
  • Make bank deposits, manage checkbooks, complete monthly bank statement reconciliation; record all expenses and income, using Quickbooks Online, including receipting and allocations.
  • Pay bills including volunteer mileage, rent, phone, internet, etc., with approval of the director
  • Acknowledging donors and program contributors; draft monthly giving paragraph
  • Process and track raffle ticket distribution and sales 
  • Develop a manual of procedures and processes documenting the duties of a bookkeeper for Faith in Action for Cass County.
  • Submit ideas for program or ongoing quality improvement.
  • Other duties, including reporting, as assigned by the director or Board of Directors
 
 
Hours:
This position is a permanent part-time, average of 24 hours per week to be scheduled in the FIA Office during open office hours (8 am to 4 pm Monday through Friday).  The employee will schedule regular hours to meet the needs of the program and will keep a record of daily hours.  
 
 
Training:
Training will be provided on-the-job, as needed by the Executive Director and/or Treasurer.  External training opportunities may be provided in the interest of employee development.
 
Qualifications:
  • Compassion and understanding of diversity
  • Excellent verbal and written communication skills, and customer service skills
  • Computer experience preferably including Word, Excel, Power Point and Outlook, Quickbooks Online, and data entry software
  • Experience in bookkeeping and other financial activities, to include reconciliation of all business transactions, i.e., invoicing & payments, payroll records, supplier invoices 
  • Experience in schedule management and juggling multiple activities
  • Ability to work cooperatively in a team environment and the ability to work unsupervised
 
 
 
 
THE IDEAL CANDIDATE
The ideal candidate is experienced in nonprofit bookkeeping, grants and charitable accounting practices.  A  bachelor’s degree is preferable but Associate Degree or equivalent years of experience is acceptable.                                                       
 
COMPENSATION
  • Hourly compensation $22.00-$24.00/hour.
  • Benefits include paid time off (PTO) policy, holidays, and flexible schedule.
  • Pay will be based on your skills and experience within the range identified above
